You're under a sink, cutting someone's hair or serving a line of customers. The phone rings. You can't pick up.
Most people who reach voicemail don't leave a message. They hang up and call the next business on Google. You never even find out they called.
Missed call text back fixes that. When you miss a call, your phone system sends the caller a short text within seconds: "Sorry I missed you, how can I help?" Now the conversation is still yours, and you can reply when your hands are free.
It takes about 10 minutes to set up, and it works while you sleep.
How missed call text back works
- A customer calls your business number.
- You don't answer (you're busy, closed or on another call).
- Within seconds, they automatically get a text from your business number.
- They reply with what they need, and you answer by text or call back when you can.
The caller doesn't feel ignored, and you get their request in writing, which is often easier to handle than a voicemail.
How to set it up (10 minutes)
- Find the setting. Open your business phone app, booking system or customer messaging app and look for "missed call text," "text-back" or "auto-reply." Many business phone services and booking tools include it but leave it switched off.
- Check your number can text. If your business line is a landline, some services can add texting to your existing number, so you don't need a new one.
- Register for business texting if asked. In the US, carriers ask businesses to register before sending texts from a local number (this is called 10DLC registration). Your provider will guide you through it. Unregistered texts can get blocked.
- Write your message (templates below).
- Turn it on and test it. Ask a friend to call while you let it ring. They should get your text within about 30 seconds.
No setting anywhere? Many business phone services offer it as an add-on, so it's worth asking your provider before switching.

Write your own with AI
Paste this into an AI assistant (ChatGPT, Claude, Gemini or Copilot):
Write 3 versions of a missed call text back message for my [type of business]. Friendly, under 300 characters, from [my name]. Say sorry I missed them, ask what they need, and say I'll reply within [time]. One version for opening hours, one for after hours, one with my booking link: [link].
Pick the one that sounds most like you. AI drafts, you decide.
The text-back is only step one: reply fast
The text-back buys you a few minutes, not a few hours. When someone replies "Hi, my kitchen sink is leaking," they may be texting two other businesses too. The first one to answer usually gets the job.
Three habits that help:
- Check your messages between every customer or job. Even a one-line reply holds them: "Got it, I'll call you at 3."
- Save your most common answers as text shortcuts on your phone: prices, opening hours, your booking link.
- Write down every missed call for a week. You'll see when you miss the most, and whether you need help covering those hours.
Frequently asked questions
Is missed call text back legal?
Replying by text to someone who just called your business is generally treated as a response to their request, not marketing. Keep it about their call, don't add promotions, and stop if someone asks you to. Rules differ by country, state and province. This is general information, not legal advice.
Does it work with a landline?
Sometimes. Some business phone providers can add texting to an existing landline number. Ask yours. If not, many owners move their business number to a business phone app that supports texting.
Will it text personal calls too?
Usually yes, if it's on your business number. Most services let you limit it to business hours, skip numbers in your contacts or turn it off for certain callers.
What if the caller is on a landline?
They won't receive the text. That's one reason to keep a short, friendly voicemail greeting too, ideally with your booking link or website.
How fast should I reply after the text-back?
As fast as you reasonably can, ideally within 30 minutes during opening hours. Say in your message when you'll reply, then keep that promise.
