The customer's water heater died this morning. They've called three plumbers, and the one who sends a clear price first, while the customer is still taking cold showers, usually gets the job.
This plumbing estimate template helps you send that price from your truck. The Excel and Google Sheets versions work the way plumbers actually charge: your hourly rate, an after-hours multiplier for nights and emergencies, and parts priced from your cost plus your markup, without the customer ever seeing what you paid.

What's in this plumbing estimate template
- Your rates in one place: hourly labor rate, an after-hours multiplier (1 for normal hours, 1.5 for nights, weekends and emergencies) and your parts markup.
- Labor and fees: hours times your rate, calculated for you, plus flat fees like the service call, disposal and permit.
- Parts with automatic markup: type what you paid in the "your cost" column and the customer price adds your markup. That column doesn't print.
- Labor subtotal, parts subtotal, tax, estimated total and a likely range. Set the range to 0% for a flat-rate quote.
- Notes for hidden problems, code upgrades, exclusions and your warranty, plus a signature line.
How to estimate a plumbing job (step by step)
- Diagnose before you price. Look, test, and take photos. Write down what you know and what you can't see yet.
- Start with the service call. Charge for showing up and diagnosing. Many plumbers credit it toward the job if the customer goes ahead.
- Estimate the hours honestly. Include removal, install, testing and cleanup, not just the "real" work.
- Check the time of day. After-hours and emergency work costs more to deliver. The multiplier handles it in one cell.
- Price parts at cost plus markup. Your markup covers the trips to the supply house, the stock in your truck and the warranty if a part fails.
- List code upgrades separately. Expansion tanks, venting or shut-off valves required by local code are a fair, visible line, not a hidden extra.
- Write the "hidden problems" clause. Corroded pipes and old leaks show up once walls are open. Promise to show the customer and get approval before extra work.
Flat rate or time and materials?
| Flat rate | Time and materials | |
|---|---|---|
| How it works | One fixed price for the job | Hours × rate, plus parts |
| Customer likes it because | They know the price upfront | They only pay for the time used |
| Best for | Common jobs you do every week | Diagnosis, old houses, jobs with unknowns |
The template works for both. For flat rate, enter the job as one line and set the range to 0%. For time and materials, keep the hours and parts on separate lines.
Plumbing estimate example
Water heater replacement (example prices only, since rates vary a lot by region):
| # | Labor and fees | Hours / Qty | Rate | Line total |
|---|---|---|---|---|
| 1 | Service call / trip fee | 1 | $89.00 | $89.00 |
| 2 | Remove old heater, install and test new one | 4 | $115.00 | $460.00 |
| 3 | Haul away and dispose of old unit | 1 | $50.00 | $50.00 |
| 4 | Permit (if required) | 1 | $120.00 | $120.00 |
| Labor subtotal | $719.00 |
| # | Parts and materials | Qty | Price each | Line total |
|---|---|---|---|---|
| 1 | 50-gallon gas water heater | 1 | $845.00 | $845.00 |
| 2 | Thermal expansion tank | 1 | $71.50 | $71.50 |
| 3 | Gas flex connector, valves and fittings | 1 | $52.00 | $52.00 |
| 4 | Venting parts | 1 | $78.00 | $78.00 |
| Parts subtotal | $1,046.50 |
Estimated total: $1,765.50, likely range $1,589 to $1,942. The parts prices include a 30% markup on cost. If the same job came in at 9 p.m., change the multiplier to 1.5 and the labor updates by itself.
What to say to customers
When you send it:
Hi [name], here's your estimate for the [job]. I can start [today / tomorrow at 8am]. The price includes the new [part], installation, permit and haul-away. If I find anything else once I'm in there, I'll show you before doing any extra work.
Follow-up the next day:
Hi [name], just checking in on the [job] estimate. I still have [tomorrow morning] open if you'd like to get it sorted. Any questions, just reply.

Write it faster with AI
After the diagnosis, record a 1-minute voice note: what's wrong, what you'll replace, the parts, the time. Turn it into text and paste it into an AI assistant (ChatGPT, Claude, Gemini or Copilot) with this prompt:
Turn my notes into a clear plumbing estimate for [customer name]: a one-sentence job description, labor lines with hours, a parts list, any code upgrades, what's not included and when I can start. Plain English, friendly tone. My notes: [paste]
Copy the lines into the template so the rates and markup calculate. AI drafts, you decide.

Frequently asked questions
How do plumbers charge for a job?
Most use either a flat rate per job or time and materials (hours times an hourly rate, plus parts at cost plus markup). Many also charge a service call fee for the visit and diagnosis.
What markup do plumbers put on parts?
It varies by business, region and part. Markup covers buying, stocking and guaranteeing the part, so set yours to cover those costs. The template uses 30% only as an example.
Should I charge more for emergency or after-hours calls?
Most plumbers do, since nights and weekends cost more to cover. The template's after-hours multiplier (for example 1.5) applies it to every labor line at once. Tell the customer before you go.
Should plumbing estimates be free?
Many plumbers charge a service call fee for diagnosis and credit it toward the repair if the customer books. Simple replacements are often estimated for free over the phone or from photos.
Can I use this plumbing estimate template in Google Sheets?
Yes. Use the Google Sheets link above to make your own copy, or upload the Excel file to Google Drive and open it with Google Sheets. The formulas work in both.
